Why Timelines Matter
Even a straightforward order goes through multiple steps: product selection, artwork prep and proofing, production, and shipping. During peak seasons, those lead times get longer. Planning ahead means you avoid rush fees, have access to better product selection, and have time to catch and fix any issues before your event date.
Your Month-by-Month Guide
- January: Order for spring events and onboarding kits. Start thinking about Earth Day in April and Admin Professionals Day.
- February: Source drinkware, polos, and lightweight apparel for spring client events and wellness campaigns.
- March: Last comfortable window to order for late spring or early summer events. Lock in outdoor event apparel.
- April: Summer swag prep. Golf outings, branded beach items, coolers. Plan ahead for company picnics.
- May: Mid-year review. Restock popular items and start planning for fall conferences.
- June: Begin fall planning. Items with embroidery or complex decoration need early lead times.
- July: Start holiday orders now. The best items sell out by October and customization timelines grow longer every year.
- August: Finalize holiday gifts. Many of my corporate clients lock in bulk gifting this month before peak season hits.
- September: Order for Q4 and winter events. Warm apparel, tech gear, seasonal drinkware. Still ahead of the crunch.
- October: Last call for holiday gifting. Options may be limited and turnaround times will be tight.
- November: Focus on gratitude gifting. Staff appreciation, volunteer thank-yous, and New Year's swag.
- December: Reflect and plan ahead. Review what worked, update your strategy, and get a head start on Q1.
A Few Tips to Stay on Track
Keep a simple tracker of key company events, appreciation dates, and gift-giving moments. Build a small budget buffer for things that come up unexpectedly. And if you find items your team loves, reorder them early with small updates rather than starting from scratch each time.
